Pre-Order Fulfillment & Release Policy
1. Classification of Procurement Batches
Our inventory is categorized based on the specific timeframe in which the stock was secured from the manufacturer (Hot Toys). This classification dictates the fulfillment priority.
- Tier 1 (First Batch): Inventory secured via orders placed on the first day of the manufacturer’s official availability window.
- Tier 2 (Second Batch): Inventory secured via orders placed on the third day of the manufacturer’s official availability window.
- Tier 3 (Subsequent Batches): Inventory secured on the fourth day or later of the manufacturer’s official availability window.
2. Manufacturer Release Protocols
The timing of product dispatch is entirely contingent upon the manufacturer’s release schedule, which generally falls into two categories:
- Simultaneous Release: The manufacturer distributes the total global allocation in a single event. In this scenario, all tiers (1, 2, and 3) are processed and dispatched concurrently, typically within 1-3 business days of payment clearance.
- Staggered (Phased) Release: The manufacturer distributes stock in waves based on the original procurement timestamp. This requires multiple shipment phases to fulfill all outstanding orders.
3. Fulfillment Priority & Timelines
- Sequential Fulfillment: In the event of a Staggered Release, we strictly adhere to a First-In-First-Out (FIFO) policy based on the Batch Tiers defined in Section 1. Tier 1 orders are fulfilled first, followed by Tier 2, and so forth.
- Estimated Arrival for Subsequent Tiers: We cannot provide binding delivery dates for Tier 2 or Tier 3 batches, as these are subject to the manufacturer’s production logistics. Historical data suggests intervals between batches may range from several days to three (3) months.
4. Inventory Segregation & Pricing Discrepancies
Customers may observe instances where a specific product is listed as "In-Stock" at a premium price while pre-orders for the same item remain unfulfilled. This is a result of inventory segregation:
- Spot Inventory (In-Stock): These units represent surplus stock from Tier 1 (First Batch) allocations. Due to the priority nature of their acquisition and earlier availability, these units carry a higher cost basis and market value.
- Pending Pre-Orders: Unfulfilled pre-orders typically belong to Tier 2 or Tier 3. These orders are contractually secured but are awaiting the manufacturer’s subsequent release phases.
- Allocation Policy: We do not divert Tier 1 surplus stock to fulfill Tier 2 pre-orders. Tier 1 stock is sold as "In-Stock" priority inventory. Tier 2 orders must await the Tier 2 release from the manufacturer.
5. Inventory Assurance & Liability
- Stock Guarantee: All pre-orders are accepted based on confirmed allocation quotas from our suppliers. We guarantee 100% fulfillment capability for all accepted orders.
- Refund Policy: In the unlikely event of a manufacturer cancellation or force majeure rendering fulfillment impossible, our liability is limited to a full refund of the purchase price.
6. Cancellation & Payment Forfeiture Policy
6.1. Voluntary Cancellation by Buyer
The Buyer retains the right to request the cancellation of a pre-order prior to shipment. However, all pre-orders are subject to a Non-Refundable Deposit (NRD) equivalent to 30% of the total product value. In the event of a cancellation, this NRD is strictly non-refundable and non-transferable.
6.2. Cancellation of Fully Paid Orders
The NRD policy applies universally, regardless of the payment structure. If a Buyer cancels an order for which the full balance has already been remitted, the refund issued will be the total amount paid less the 30% Non-Refundable Deposit.
6.3. Settlement of Outstanding Balances
Upon the official release of the product, we will issue a formal invoice for the remaining balance via the email address on file. It is the Buyer’s responsibility to ensure their contact information is current.
6.4. Payment Default & Contract Termination
The Buyer is required to settle the outstanding balance within fifteen (15) calendar days of the invoice issuance date. Failure to remit full payment within this stipulated timeframe constitutes a breach of contract. In such cases:
- The order will be summarily cancelled.
- All monies previously paid (including deposits or partial payments) will be forfeited in their entirety.
- We reserve the right to resell the inventory to other parties without further notice.
